Guidepoint is looking for a Personal Assistant – Executive Assistant to serve as the main point of contact for the CEO. The ideal candidate is a self starter with a proactive attitude that can work well in a fast paced environment.

What You’ll Do:

Personal Assistance:

  • Manage calendar and travel– proactively address delays or cancellations, develop detailed itineraries with added suggestions for family trips, and conduct check-ins to make sure the CEO understands each day’s expectations
  • Assist accounting with the preparation and gathering of all personal documents required for tax returns and expense reports
  • Liaise with staff when coordinating trip preparations
  • Assist in the planning and coordination of office events – happy hours, holiday party, and quarterly outings
  • Run personal errands – shopping, lunch, banking, etc.
  • Filing and documentation – take charge of reporting,
  • holiday gifting initiatives, and additional database updates per ad hoc requests


Office administration:

  • Manage the CEO’s calendar, scheduling, travel, phones, correspondence (some PA work as requested)
  • Maintain all office equipment, order supplies
  • Liaise with IT team to address computer/phone/network/misc. tech issues
  • Liaise with all office vendors, analyze bids and maintain contracts, re-negotiate as necessary
  • Liaise with building management regarding security issues, city codes and office maintenance
  • Coordinate all mailings (regular mail/Fedex/client holiday gifts/etc)
  • Handle all parts of international

What You Have:

  • Experience – You have a minimum of 2 years’ experience supporting a C-level executive
  • Education – You have completed a Bachelors degree and have an outstanding academic record
  • Sophisticated – You are professional and discreet in all of your communication, and have a grasp and interest ranging from global current events to new restaurant openings
  • Resourceful – You approach new projects with enthusiasm and focus, keeping all of your active priorities well-organized and current
  • Motivated – You are eager and willing to pitch in on any project that comes across your desk, while maintaining an innate sense of efficiency and attention to detail in all of your work
